Job Description (Roles and Responsibilities) 

This is an exciting and stretching position at the core of the British Embassy’s operations, providing executive administrative support to the Development Director.

  1. Provide executive administrative support to the Development Director (DD):

Manage the DD’s diary, liaise with Embassy teams, Government and partners to arrange meetings and participation in external events or host events at the Embassy

Liaise with teams to provide briefings and external communications products

Work very closely with and provide cover for the Executive Assistant to the British Ambassador whenever they are on leave.

Arrange and provide main bullet points/ record of actions from the Embassy’s Programme Board meetings chaired by the DD

  1. Provide flexible support across the Embassy and contribute to the wider delivery of the Embassy’s objectives, for example assisting with delivering high-level visits to DRC from the UK.

To do this job well, you will need to build contacts with both colleagues from the British Embassy as well as with our external partners.

Roles and responsibilities:

In your role as Executive Assistant to the DD, you will be responsible for:

Leading in arranging all external and internal meetings that require the DD’s attendance

Making sure that the DD’s electronic diary is always up to date and proactively letting the DD and proposed meeting attendees know in good time if meetings need to be rearranged

Managing the process for briefings for important meetings that the DD will attend.  This means liaising with all Embassy teams to make sure that (required):briefing is received from them in advance for the DD to review in good time and provide feedback if needed before the meetings take place, and ensuring that communications activities are planned in advance – as well liaising with relevant teams and our Communications Officers to make sure that follow-up communications is completed and agreed by the DD

Managing any necessary arrangements required for the DD’s external-facing work, including booking flights and organising events at the Embassy Residence as required

You will need to remain flexible to assist across specific, discrete areas of work when required by other Embassy teams (e.g. VIP visits etc).

 

Essential qualifications, skills and experience 

Is a strong team player and who has experience of building effective internal and external relationships and working well across teams

Is a clear and confident communicator (written and oral), both internal and external-facing – in French and English.   This will be tested as part of the recruitment process

An ability to proactively and positively take the initiative to getting things done, managing your own workload well in a fast-paced working environment

A flexible approach to your work in general, with experience of adapting quickly to respond to changing priorities, structures and processes and being open to offering your support across the office when needed

Good organisational skills, methodical and thorough and with the ability to ensure that your work is completed to tight deadlines

A working knowledge of all Microsoft Office suite of programmes

Language requirements: 

Language: French and English

Level of language required: Advanced/Fluent
